When will entries close?

Entries will close automatically on the Sunday before race day, unless stated otherwise on the event profile page.

This allows us time to prepare start lists and timing equipment. No entries will be accepted after entries close.

I can no longer take part, what are my options?

Refunds, Deferrals & Transfers

In line with our Terms & Conditions, we do not offer refunds or deferrals.

If you purchased Booking Protect refund protection at the time of entry, you may submit a claim directly with them:

If you entered via a third-party entry platform (e.g. Find A Race), any refund request must be made directly with that provider. Their refund protection is administered by XCover:

Entry Transfers

You may transfer your entry to another person via your Eventrac account, subject to the following conditions:

Transfers must be completed no later than 14 days before the event, or by the date stated on the event profile page.
Transfers are free of charge.
The replacement athlete will pay the entry fee at the point of transfer.
The original entrant will receive a full refund from the entry system within a few working days.

Race-distance changes (where offered) must also be completed within the same timeframe via your Eventrac account.

Question 3

Will I receive any additional information before the event?

Accepted Answer

Yes. A pre-event information pack will be emailed to you during the week leading up to the event.
This will include venue details, timings, and everything you need to know for race day.

Question 4

Can spectators come to the event?

Accepted Answer

Yes — spectators are very welcome to come along and cheer you on.

If spectating on roads or along the course, please stay aware, keep safely to the side, and avoid obstructing racers.

Question 5

Do you have medical support at the event?

Yes. Medical support is provided at all our events.

A medical team will be based at the start/finish area, with an additional mobile team on course.
If you need medical assistance at any time, please inform a marshal immediately.

Question 6

What happens if I retire from a race?

If you retire from the race, you must report to Race HQ immediately and return your timing chip.

If you are not accounted for at the end of the event, we will attempt to contact you and your emergency contact as part of our safety procedures.

Is there a bag drop?

Yes, bag drop facilities will be available. Items are left at your own risk.

Question 8

Can I wear earphones or use an iPod?

Accepted Answer

As a UKA-registered event, in-ear headphones are not permitted.
Bone-conduction headphones are allowed for general participants.

However, if you are competing for podium places or prizes, UKA race rules prohibit the use of any headphones, including bone-conduction. Use of headphones in this case may result in disqualification.

Question 13

Transferring your place to someone else

Accepted Answer

If you are unable to attend an event, you may be able to transfer your place to someone else. Simply view your booking via the link in your confirmation email and, if the event organiser is currently permitting such transfers, click to Transfer to Someone Else.

You will be asked to enter the name and email address of the intended recipient - together with any custom message you wish to add - and on completion of the booking invitation sent to the recipient, your entry will be removed.

Question 14

Updating your user profile

Accepted Answer

When registering for an event, any details stored on your user profile will typically be pre-populated on the entry form. You can update these details (email address, name, date of birth, gender) via the Settings option in your login menu (displayed as your First Name when signed in).

The login menu will appear in the top-right of the page when viewed in a desktop browser, or can be accessed via the burger menu when viewing on a mobile device.

Updating your booking/registration information

Accepted Answer

If any of the details provided during your registration for an event are incorrect/outdated, you may be able to update them yourself. Simply view your booking via the link in your confirmation email and, if the event organiser is currently permitting such updates, click to Update Booking.

You will be able to update any responses except your Name and Date of Birth, but must ensure you click Proceed at the foot of the page to save any changes. Note that you will not receive confirmation of any changes by email.

Question 16

How can I add an Item to my event booking

Accepted Answer

If you forget to do so during registration, or later change your mind, you can still purchase any merchandise/add-ons offered by the organiser of an event you have already booked.

Simply follow the link in your booking confirmation email to view/manage your entry, and select “Add Items to Booking” from the available options. You will then be taken to the the event merchandise page where you can add any items to your orders as necessary.

Creating a user account after registration

Accepted Answer

Creating a user profile allows you to manage all of your bookings in one place and take advantage of any other benefits offered by an organiser.

These can include loyalty points earned for entering an event, a record of your results, or credit earned through any referral scheme in place.

If you didn’t elect to create a user profile during registration for an event, you can do so by viewing your booking via the link in your confirmation email and click to Create Account where indicated. You will be asked to provide a password, and can then use the same login credentials to sign in to your profile with any organiser using the eventrac platform to host their events.

Question 18

Save Your Details for Faster Booking

Accepted Answer

Login to your user profile and navigate to the Bookings tab, expanding the option to display Past Bookings if necessary. Click on the grey circled tick to the left of any bookings for which you wish the participant details to be available for selection when later utilising the Auti-Fill functionality on the entry form.

Note that this functionality will only be available if you are signed in to your profile during the booking process.

Question 19

I purchased Refund Protect with my booking, how do I submit a claim?

If you purchased Refund Protection with your entry, your confirmation email will include your claim reference, and links to both the website through which you can submit a claim, and the Terms & Conditions you accepted during purchase that will be applicable to any such claim.

Refund Protect is a service offered by a third party provider. Neither the organiser of the event - nor eventrac as the software provider through which the purchase was made - have any influence over the subsequent outcome of any claim submitted to the provider. You must contact them directly via email reply to the initial confirmation you receive when first submitting a claim.

Refund protection is not applicable if the event is cancelled/postponed by the organiser. In this case you will need to contact them directly to discuss your original entry.

Question 20

What happens if the event is cancelled due to weather or safety?

In the event of cancellation or course changes due to weather or safety concerns, no refunds will be issued. Any updates will be communicated via email and our social channels.

Question 21

Are dogs allowed at the event?

Well-behaved dogs are welcome at the venue but must be kept on a lead at all times.

Dogs are not permitted on the race course at any time.

Question 22

Can someone collect my race pack for me?

Accepted Answer

No. Race packs must be collected by the competitor unless stated otherwise in the race brief.

Is there a cut-off time?

Accepted Answer

Cut-off times (where applicable) will be detailed in the race brief. Participants who fail to meet cut-off times may be withdrawn for safety reasons.

How is my personal data used?

Your name, contact details, and finish time will be used for race administration, timing results, and communication about the event. We will not share your information with third parties except where required (e.g., timing partners or medical support).

What if my entry information is wrong?

You must provide accurate details when entering. The organiser reserves the right to refuse or cancel your entry without refund if information is found to be false or incomplete.

You may need to present valid photo ID at registration, especially for larger events. Check your race brief for specific ID requirements.

Do I enter at my own risk?

By entering, you acknowledge that participation involves inherent risks. You confirm that you are fit to compete and accept responsibility for your own safety and equipment. The organiser is not responsible for injury, loss, or damage beyond their legal duty of care.

Are race decisions final?

All decisions by the race director, officials, and event staff are final. This includes safety decisions, course changes, disqualifications, and placings.

Will my photo or video be used?

By participating, you consent to being photographed and filmed at the event. These images may be used by the organiser for marketing and media purposes. If you do not wish to be featured, please contact us before the event.

Do I need specific equipment?

In addition to standard safety gear (e.g., helmets), you must ensure all equipment is in good working order. Failure to comply with mandatory equipment requirements may result in disqualification.

Can the event be changed?

The organiser reserves the right to amend the event format, course, timings, or schedule if required for safety or operational reasons.

Withdrawal by organisers (safety / behaviour)

The organiser reserves the right to withdraw any participant who is deemed unsafe, unfit to continue, or whose behaviour is considered dangerous or unsporting.

Force majeure - Events outside our control

The organiser will not be liable for any loss or damage caused by events beyond their reasonable control.

How do I navigate the course on race day?

The Portland Coastal Marathon is a self-navigation course.
You must use the official GPX route file to follow the course during the race.

How does the referral scheme work?

Once you’ve entered, Eventrac generates a unique referral link just for you.

When someone enters using your link, credit is automatically applied to your account according to the event’s referral offer.

Referral links are available after entry only.
